Use this when you cannot keep the original appointment and can offer replacement times.

Find a replacement time for a group meeting
Use this when the original group slot is no longer possible and you need new availability.

Hi everyone, The [meeting name] meeting planned for [original date and time, time zone] will not go ahead at that time because [brief reason]. I’ll cancel the old calendar invitation. Short-notice rescheduling message
Use this when a meeting is close and the first priority is making sure nobody waits for you.
Subject: Time change needed: today’s [meeting name] at [time, time zone]
Hi [name / everyone], I’m sorry for the short notice. I cannot attend today’s [meeting name] at [original time, time zone] because [brief reason]. Please do not wait for me on the call. Before you send
- Contact attendees as soon as you know you cannot make the original time. For an imminent meeting, use an agreed direct contact method as well as email if needed.
- Offer alternatives with full dates, durations, and time zones. When several people need to attend, collect fresh availability instead of assuming the previous poll still applies.
- After everyone agrees, update or cancel the old calendar invitation and send the replacement details. Do not leave two apparently valid invitations for the same meeting.
Do not present a requested change as accepted. If you definitely cannot attend, say so; if moving the meeting is only a preference, make clear that the original arrangement still stands unless everyone agrees otherwise.
