Send a confirmation after the time has been agreed, not while it is still one of several options. Include the exact date, time zone, duration, and joining details. If you are replying as an attendee, repeat the agreed time so the organizer can spot a misunderstanding before the meeting.

Confirm a meeting as the organizer
Use this when the participants have agreed on a time and you are sending the final details.

Announce the time chosen from a group poll
Use this after checking the responses and choosing a time, not as an automatic declaration of the darkest grid cell.

Hi everyone, Thanks for sharing your availability. After checking the responses, we’ll meet on [full date] from [start–end time, time zone]. Before you send
- Compare the chosen slot with every required attendee’s availability for the entire duration. The most popular starting time is not automatically a workable meeting.
- Use the same date, time zone, and joining link in both the email and the calendar invitation. An email alone does not add the event to everyone’s calendar.
- When announcing a poll result, distinguish people who can attend from people who cannot. If an essential attendee is missing, resolve the conflict before calling the time final.
Do not say a calendar invitation is attached or has been sent unless you have actually included or sent it. Remove placeholders for links and documents you do not have yet; tell the reader when to expect them instead.
